Convert SBI bank statement PDF to Excel — the complete guide

SBI bank statements have some of the quirkiest PDF layouts in India — merged columns, inconsistent spacing, and multi-line narrations. Here's how to get them into clean Excel reliably.

State Bank of India is the most commonly encountered bank in any Indian CA's practice — it's the country's largest bank with 500+ million customers. Unfortunately, SBI also produces some of the most inconsistently formatted bank statement PDFs across its various systems (YONO, branch-printed, e-statement portal).

This guide covers every SBI statement variant and how to get each one into clean Excel.

How to download your SBI bank statement PDF

SBI offers statements through multiple channels:

From YONO (mobile/web)

  • Login to YONO → Accounts → select account → Statement
  • Choose date range (max 1 year at a time)
  • Download as PDF — this gives you a digital, text-layer PDF

From internet banking (onlinesbi.sbi)

  • Login → My Accounts → Account Statement
  • Choose format: select "PDF" (not "XLS" — the XLS is often broken or truncated)
  • Select date range and download

From branch (on request)

Branch-generated statements come as printed PDFs (sometimes scanned photocopies). These need OCR — more on that below.

⚠️ HEADS UPSBI's built-in XLS download
SBI's internet banking offers an "XLS" download option. Don't use it for accounting work — it's a badly formatted HTML file disguised as .xls, with merged cells, missing columns, and dates in inconsistent formats. The PDF is a more reliable source for conversion.

Understanding SBI's statement formats

SBI uses different PDF generators across its systems, producing at least three distinct layouts:

Format 1: YONO digital statement

Clean, modern layout. Columns: Date, Description, Ref No./Cheque No., Debit, Credit, Balance. Text layer is reliable. This is the easiest to convert.

Format 2: Internet banking statement

Slightly older layout. Same columns but narrower spacing, with multi-line narrations that wrap unpredictably. The "Value Date" column sometimes appears, sometimes doesn't.

Format 3: Branch/passbook statement

Often generated from the CBS (Core Banking System). Fixed-width courier font, tight spacing, truncated narrations. Sometimes the debit/credit columns share space and are distinguished only by alignment — an amount on the left is a debit, on the right is a credit, with no column header.

Download or obtain the statement PDF

Use YONO or internet banking. For the cleanest results, prefer the YONO download if your client has access — it produces the most consistently formatted PDF.

Review the preview

Common issues with SBI statement conversion

Multi-line narrations merging with the next row

SBI's NEFT/RTGS narrations often span 2-3 lines ("NEFT CR-0123456789-JOHN DOE-STATE BANK OF INDIA..."). Generic converters treat these continuation lines as separate transactions. BankXL groups them correctly using row-height detection and alignment rules.

Opening balance row appearing as a transaction

SBI prints "B/F" (Brought Forward) with the opening balance in the balance column. This isn't a transaction — BankXL detects and excludes these automatically.

Page totals appearing as transactions

Some SBI formats print page-total rows ("Total for this page: Dr ₹X Cr ₹Y"). These are metadata, not transactions. BankXL's junk-row detection removes them.

Date format inconsistency

SBI uses DD-MM-YYYY in some systems and DD MMM YYYY in others. Both are handled; the Excel output normalises all dates to a consistent format.

Converting SBI passbook scans

Old-style SBI passbooks that have been scanned (or photographed) don't have a text layer — they're effectively images. For these:

  • Skewed or blurry photos drop accuracy significantly; re-scan if possible

💡 TIPTip for better passbook scans
If you're scanning an SBI passbook for conversion: use a flatbed scanner, not a phone camera. Keep the book flat (spine pressed down). Scan at 300 DPI minimum, black and white mode. The result will convert much more reliably than a phone photo.
